The portal is the normal channel for new requests. Rule 25(2) allows the Commission to determine that exceptional circumstances justify an alternative means. This guide is an overview; the current official instructions take precedence.
What the portal is designed to handle
| Filing type | Typical purpose | Next page |
|---|---|---|
| Access | Request disclosure of personal data held in INTERPOL systems | Access request |
| Correction | Seek amendment of information that is inaccurate or otherwise requires correction | Deletion/correction overview |
| Deletion | Challenge data said to be non-compliant with INTERPOL rules | Deletion request |
| Revision | Seek review of a CCF decision on qualifying newly discovered facts | Revision |
Before beginning an application
- Determine the correct request category; different legal issues may require different filings.
- Prepare identification and representation documents in the form currently required by the CCF.
- Draft a clear chronology and, for substantive challenges, a concise summary of arguments.
- Gather legible documents and translations into a working language when required.
- Check file formats and any technical restrictions against the official user guide.
- Confirm the applicant or authorised representative controls the relevant correspondence address and access credentials.
A sensible document index
| Annex | What it contains | Why it matters |
|---|---|---|
| A1 | Applicant identity documentation | Admissibility and identification |
| A2 | Signed authority / power of attorney, where applicable | Representation and access to data |
| B1 | Underlying judicial decision or warrant, if available | Legal and factual context |
| B2 | Relevant national proceedings and outcomes | Changes to the status or merits of the case |
| C1 | Context reports or independent evidence | Analysis of political or human-rights issues |
| D1 | Chronology with references | Connects arguments to the records |
This table is an organisational suggestion, not an official CCF prescribed annex format.
After submission
The portal can be used to track case status, communications and the eventual decision. An acknowledgement or admissibility notice does not mean a deletion request will succeed. Time limits described by the CCF generally run from admissibility. The CCF may request further information.
Special situations
Already submitted before 26 March 2026? INTERPOL states that existing cases remain under the earlier communication arrangements unless the CCF subsequently migrates them; applicants will be informed if that occurs.
Unable to use the portal? Refer to the exceptional-circumstances mechanism described in Rule 25(2). Do not simply send a new application by ordinary email and assume it will be accepted.
Facing arrest or extradition? A portal submission is not a substitute for urgent legal action in the country concerned.
Common avoidable errors
- Filing a deletion request without explaining precisely which rule is engaged.
- Uploading unreadable, inverted or incomplete documents.
- Forgetting signed authority for a representative.
- Sending documents in languages that do not meet the current requirements.
- Confusing an Article 42 revision with a new appeal on unchanged facts.
FAQ
Is the CCF portal the same as the public Red Notice search?
No. The former is for formal data-rights requests; the latter displays selected public notices.
Does the portal charge a filing fee?
The CCF procedure itself does not impose an application fee. Professional assistance is separate.
Can the portal guarantee confidentiality from a requesting country?
The rules govern exchanges and disclosure. The CCF may consult data sources or other relevant bodies as part of its examination. Seek individual legal advice on sensitive allegations.
